    Case study

A football club that ran on paper and group chats now runs on one system.

A community football club was running registrations, squads, fixtures and subs across paper forms, spreadsheets and chat threads. We built them one system for all of it.

    • Squads & fixtures
    • Members & payments
    • Works on phones
    • Built in days
A football club that ran on paper and group chats now runs on one system.

    Everything lived somewhere different

The club's volunteers were spending their evenings on admin instead of football. Player registrations came in on paper, team sheets were texted around, fixture lists were a spreadsheet only one person could edit, and subs were chased in a group chat.

    • Registration forms piled up in a folder and had to be typed up by hand.
    • Coaches could not see who was available or who had paid without asking the secretary.
    • Fixture changes were announced in a chat thread that half the parents missed.
    • Subs tracking was a spreadsheet, so nobody knew who owed what.
    • Every new season meant starting the paperwork again from scratch.

One system for squads, fixtures, members and money

We built the club a custom management system shaped around how a grassroots club actually works. Players and parents register online, coaches manage squads and availability from their phones, fixtures update everyone automatically, and subs are recorded against each member so the treasurer can see the position at a glance.

    • Online registration replaced the paper forms, with member records created automatically.
    • Coaches pick squads and see availability without phoning round.
    • Fixture lists are updated once and everyone sees the same version.
    • Subs and payments are tracked per member, with a clear view of what is outstanding.
    • The whole thing works on a phone, because that is where volunteers use it.

Built around volunteers, not IT staff

A community club has no IT department, so the system had to be obvious to use and impossible to break. Screens were designed around the jobs volunteers actually do — register a player, pick a squad, mark a payment — rather than around a database. Ceejay hosts, maintains and supports the system, so the club never has to think about the technical side.

Ready for next season without starting over

Because member records, history and fixtures all live in one place, a new season is a rollover, not a rebuild. The same approach works for any membership organisation: sports clubs, associations, societies and community groups that have outgrown paper and spreadsheets.
